Privacy Policy

This policy explains how JHenMedia (“we,” “us,” or “our”) collects, uses, discloses, and protects personal information when you visit jhenmedia.com, use our client portal, shop, or otherwise interact with our services.

1. Who we are

JHenMedia provides web development, hosting, IT, marketing, and related digital services through jhenmedia.com and associated client systems (including WHMCS, FluentCart, FluentSupport, and WordPress where applicable). 2. Information we collect

Depending on how you interact with us, we may collect:

  • Identity & contact data — name, email, phone, billing/shipping address, company name.
  • Account & authentication data — username, password (stored by our identity systems; we do not store plaintext passwords in the Next.js app), session tokens, two-factor or magic-login metadata.
  • Transaction data — orders, invoices, subscriptions, domain registrations, payment status. Card numbers are processed by payment processors (e.g. Stripe, PayPal); we do not store full card numbers on our servers.
  • Support & communications — support tickets, messages, attachments, and CRM/marketing preferences.
  • Technical & usage data — IP address, browser type, device identifiers, pages viewed, referral URLs, cart/session cookies, and security logs (including Cloudflare Turnstile signals when enabled).
  • Marketing data — newsletter sign-ups, campaign engagement, and consent records.

We collect information directly from you, automatically through cookies and similar technologies (see our Cookie Policy), from payment and hosting partners, and from integrated platforms you authorize.

3. How we use information

We use personal information to:

  • Provide, operate, and improve our websites, store, portal, hosting, and professional services;
  • Process orders, payments, renewals, provisioning, and account management;
  • Authenticate users and protect against fraud, abuse, and security incidents;
  • Respond to inquiries, provide customer support, and send service-related notices;
  • Send marketing communications where permitted and with appropriate consent;
  • Comply with legal obligations, enforce our Terms of Service, and resolve disputes.

4. Legal bases (EEA, UK, and Switzerland)

If you are in the European Economic Area, United Kingdom, or Switzerland, we process personal data under:

  • Contract — to perform our agreement with you (e.g. checkout, hosting, support).
  • Legitimate interests — to secure our services, prevent fraud, and improve offerings (balanced against your rights).
  • Consent — for non-essential cookies, certain marketing, and where required by law.
  • Legal obligation — tax, accounting, and regulatory requirements.

You may withdraw consent at any time where processing is consent-based, without affecting prior lawful processing.

5. How we share information

We may share personal information with:

  • Service providers — hosting, payment processors, email/CRM (e.g. FluentCRM), support (FluentSupport), billing (FluentCart, WHMCS), analytics, and security vendors under contractual safeguards.
  • Professional advisors — lawyers, accountants, and insurers when necessary.
  • Legal & safety — when required by law, court order, or to protect rights, safety, and integrity of our services.
  • Business transfers — in connection with a merger, acquisition, or asset sale, subject to continued protection of your data.

We do not sell personal information for money. We do not share personal information for cross-context behavioral advertising as “selling” or “sharing” under California law unless we separately disclose and offer opt-out rights for that practice.

6. International transfers

We are based in the United States. If you access our services from other countries, your information may be transferred to, stored in, or processed in the U.S. and other locations where our providers operate. Where required, we use appropriate safeguards such as Standard Contractual Clauses approved by the European Commission or UK International Data Transfer Addendum, and we assess transfer risks as required by applicable law.

7. Retention

We retain personal information only as long as needed for the purposes described above, including to satisfy legal, accounting, and dispute-resolution requirements. Transaction and account records may be kept for several years after your relationship ends. Support tickets and logs are retained according to operational and legal needs.

8. Security

We implement administrative, technical, and organizational measures designed to protect personal information, including encryption in transit (HTTPS), access controls, and secure session handling. No method of transmission or storage is 100% secure; please use strong passwords and notify us promptly of suspected unauthorized access.

9. Your privacy rights

United States (including state laws)

Depending on your state of residence (including California, Colorado, Connecticut, Virginia, Utah, Texas, Oregon, and others with comprehensive privacy laws), you may have rights to:

  • Know what personal information we collect, use, and disclose;
  • Access and obtain a copy of your personal information;
  • Correct inaccurate personal information;
  • Delete personal information (subject to exceptions);
  • Opt out of certain processing such as targeted advertising, sale, or profiling in furtherance of decisions;
  • Limit use of sensitive personal information where applicable;
  • Appeal a denial of your request where required by law.

To submit a request, email privacy@jhenmedia.com. We will verify your identity before fulfilling requests. You may use an authorized agent where permitted by law. We do not discriminate against you for exercising privacy rights.

California (CCPA/CPRA): Categories collected in the last 12 months may include identifiers, commercial information, internet activity, and inferences — as described in Section 2. We collect these for the business purposes in Section 3. California residents may also request information about disclosures to third parties for business purposes.

EEA, UK, and Switzerland (GDPR / UK GDPR)

You may have the right to access, rectify, erase, restrict, object, and data portability, and to lodge a complaint with your local supervisory authority. Contact privacy@jhenmedia.com to exercise these rights.

Other regions

If you are in Canada, Australia, Brazil, or other jurisdictions with privacy laws, you may have additional rights. Contact us and we will respond according to applicable law.

10. Children

Our services are not directed to children under 16 (or the age required in your jurisdiction). We do not knowingly collect personal information from children. If you believe a child provided us data, contact us to request deletion.

11. Third-party links

Our site may link to third-party websites or services (e.g. payment gateways, social networks). Their privacy practices are governed by their own policies; we encourage you to review them.

12. Changes

We may update this Privacy Policy from time to time. We will post the revised policy on this page with an updated “Last updated” date. Material changes may be communicated by email or prominent notice where required by law.
